AR Reminder: Use Expense or Revenue Account Codes on Direct Journal Deposits

When you create accounting entries for direct journal deposits in the Accounts Receivable (AR) module, make sure to enter a 6-digit account code for the revenue (starts with 5 or 6) or for the expense (starts with 4). There are rare exceptions to this rule, such as when processing returned items or agencies processing loan transactions. Entries to the Cash account are automatically created by the system when the accounting entries are processed.

If you are not sure what account code to use, it is always good to discuss this with your supervisor. Additional entry instructions are located on the Accounts Receivable Reference page.

If you need to correct a direct journal deposit with a reversing or zero-dollar deposit, make sure to enter the 6-digit revenue or expense account code that was entered on the original deposit.

The print screen below shows the Modify Accounting Entries page for a direct journal deposit. If you needed to enter a correction for this deposit, you would enter the “513304” revenue account code (Seminar Workshop Fees), along with the same banking information and other ChartFields found on the original deposit.

OBIEE Update: New Workforce Subject Area and Dashboard Now Available

A new subject area and dashboard comprised of FLSA data are now available in OBIEE (Oracle Business Intelligence Enterprise Edition), the SWIFT Data Warehouse query and reporting tool.
OBIEE Workforce Subject Area includes:

  • Workforce – FLSA Schedule
  • OBIEE FLSA Dashboard includes:
  • FLSA Salary Basis
  • FLSA Salary Basis for Part Time
  • FLSA Schedule

All users having roles for Workforce data plus at least one General Warehouse role will have access to these OBIEE Workforce subject areas through the SWIFT Data Warehouse Access page on the SWIFT Administrative Portal.

Sign Up for SWIFT Classroom Training!
